We are looking for a:
Commercial Information System Trainee within our Sales Department
If you are a fast learner, result-oriented and good at dealing with tight deadlines then you are the one! We want you for our internship in Philip Morris Manufacturing Senegal based in Dakar.
As an intern in our department, you will team up with the Commercial Planning & Trade Strategy team, within the Sales Department to:
1. Daily support sales department in areas of market information collecting & analysis, sales & distribution data management and sales report establishment. These includes HQ assistance with back-office reporting and assistance to field staff with front office reporting.
2. Assist Supervisor in the development and management of an advanced but suitable commercial system, supporting reporting/operation processes, with the intent of providing organizational efficiency, and clarity in the communication of business information and results.
PRINCIPAL ACCOUNTABILITIES
1. COMMERCIAL INFORMATION SYSTEM MAINTAINANCE / DEVELOPMENT
– Assist supervisor on the enhancement / implementation of commercial information system by working closely with IS & appointed system developer agency.
– Assist supervisor on the development of local reporting system to ensure front users are equipped with useful reporting tool. These includes:
i. Working closely with IS to conduct proper test of reporting system to meet business needs by clearly define user requests.
ii. Coordinate pilot implementations and national wide roll outs in order to ensure implementations to be delivered on time in line to the desired specifications, schedule and highest quality standards.
– Evaluate/improve the quality and usefulness of the utilized systems via user feedback in order to maximize usage.
– Consolidate sales tasks specified in each sales cycle plan and communicate with the field force through sales systems.
– Work on any ad-hoc projects related to commercial system to support business needs.
– Perform a key support role for the Sales Force in terms of Day-to-Day troubleshooting.
– Work with supervisor to ensure the usage of all sales systems follows PM policies and procedures.
2. SYSTEM TRAINING & DOCUMENTATION
– Work with IS to organize and carry out system training with COD for all salespeople in order to develop user skill and knowledge to operate sales systems and reporting tools.
– Work with COD to conduct training sessions to ensure all salesperson is fully aware and understand sales information and KSI and the links to their respective day-to-day operation.
– Work with COD to organize and develop training materials for the aforementioned trainings.
– Produce all relevant policy and procedure documentation for end users in Sales Department. Ensure that all documentation is continuously updated.
3. DATA MANAGEMENT
– Assist supervisor in the maintenance of commercial information system database at highest available level to ensure accurate and adequate information to all level of organization.
– Maintain sales & distribution data via commercial information system, e.g. Working with IS to improve on Ad Hoc query performance, setup of program/initiative Call Cards (ensuring key KSI’s are measured for reporting) and maintaining product pricing.
– Perform on-going commercial information system data integrity check and maintenance, e.g. classification uniformity, customers in correct category, values are correct and valid.
4. COMMERCIAL REPORTING PREPARATION / DEVELOPMENT
– Prepare Sales & Distribution reports for the commercial function and ensure all reports are finished on-time, accurately and with complete information to assist sales, marketing and management to track progress and facilitate business decisions. (eg. Daily Sales & Distribution report, Monthly Sales Dashboard & etc.)
– Assist supervisor to continuously improve the reporting formats and contents to ensure optimal efficiency, reliability of the reporting and to better reflect business needs.
– Assist supervisor on the development of management report structure and layout that translates the data and analysis into useful materials and reader friendly format to increase efficiency in providing management with accurate and timely sales related information.
-Assist supervisor in generating data requirement for ad hoc analysis reporting based on management requirement.
5. ADMINISTRATION
– Coordinate with Sales Admin in preparing working materials (data) in the event of workshop, task force, meeting, etc.
CHALLENGES
‘1) Provide relevant reports to all related users in a timely and accurate manner including ad hoc requirement.
2) Improve the reporting formats and contents to ensure optimal efficiency, reliability of the reporting and to better reflect business needs.
3) Monitor the performance of commercial information system tools and ensure they are operated at optimal standard.
On the other side, you will learn how the sales department contributes to the business and its success. You will engage with the Department and with all the employees to add value to the collective innovative thinking. You will actively participate in Sales events.
As part of the Sales team, we expect you to be a problem-solver with a high motivation to help the team achieve its objectives. Learning on the job is part of the experience and your ability to quickly absorb new concepts and technics is paramount to your success.
SKILLS ANS COMPETENCIES
College/University – master’s in business management and other related field
‘Strong computer skills especially in Microsoft Office (Excel/Powerpoint/Power BI), Familiar with data mining/business information tool, Strategic thinking and planning, High level communication ability, Excellence in Analytical & Problem-solving, Presentation skills, Time management skills
Language – proficient in English, Fluent in French and Wolof
