PURPOSE OF POSITION:
To provide programmatic support to the HEA, Communications, Security and Resource Acquisitions & Management Departments for the achievement of the departmental strategic objectives toward improved well-being of children.
MAJOR RESPONSIBILITIES:
- Planning and Coordination
- Prepare, collate, update and monitor the calendar of events for all departments (key programme activities, meetings, workshops, external stakeholder engagements and other fora).
- Prepare (agenda and logistics coordination) and document (minutes/reports writing)
- Support the development and monitoring of departmental action plans, and key deliverables
- Liaise with other departments/units and organise key meetings and events
- Prepare reports and meeting presentations
- Help schedule and prepare materials for (virtual and/or in person) meetings and conferences; make travel arrangements as needed
- Assist the staff of the regional office in preparing expense reports, other financial management tasks tied to the regional office.
- Security
- Support in the organisation of security training events for National Offices – OCS required documents gathering.
- Support in providing inputs to grant implementation security sections in proposals and Go No Go sheets
- Coordinate and support planning of on-line recurring meetings
- In coordination with the RSA follow up on communication with NOs SMs and SFPs for gathering of monthly and quarter reports
In coordination with the RSA follow up NOs submission of updated mandatory Core Security Requirements documents
- Communication and Reporting Impact
- Develop communications management reporting calendar and compile reports
- Support communication materials reporting processes from National Offices (Annual reports, Impact reports, Sit Reps, Quarterly reports etc.)
- Develop a central content production calendar including requests from the various departments highlighting institutional programmes and achievements (flyers, handouts, posters, newsletter, reports etc.)
- Support drafting, editing, publication and dissemination of communication materials
- Humanitarian Emergency Affairs (HEA)
- Track and review National Offices monthly reports and follow actions in relation to HEA activities and funding
- Support the review of WV humanitarian response plans, budgets and activity reports in the region
- Assist in organizing and updating response information and data on WVI information platforms (e.g. MS Teams)
- Collect and update information on humanitarian actors in the region (including donors) and relevant opportunities for collaboration
Support the organization of HEA/response coordination meetings/calls, including preparing background documents and information, sending invitations, drafting minutes.
- Resource Acquisitions and Management (RAM)
- Track and analyse trends in the institutional funding landscape, effectively communicating key information to NOs and other key stakeholders to inform strategic decision-making
- Provide hands-on support/ surge capacity for grant proposal development, including coordination, writing and editing and reviewing budgets and narratives
- Provide strong analysis of donor Calls for Proposals for regional, multi-country opportunities
- Contribute to writing and preparation of capacity statements, quarterly and annual reports, donor engagement presentations and meeting minutes
Update opportunity tracker/pipeline for the region
Qualifications: Education/Knowledge/Technical Skills and Experience
The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
- Educational level required: BA /BSC Degree in Business Administration, Development studies /planning, Social Science disciplines or related field.
- Experience: 3 years working experience in development planning and administration
- Working knowledge of both proposal and reports writing
- Good planning and organizational skills
- Ability to maintain effective working relationships with all levels of staff
- Fluent in French and English
Other Competencies/Attributes:
- Computer literacy in Office pack (Word, Excel, ppt etc.)
- Good understanding of development project management principles
- Relevant field experience in development programmes
- Basic experience in working with projects funded by major donors (EU, USAID, DFID, JICA)
- Good communication and interpersonal skills
- Be flexible
Working Environment / Conditions:
- Work environment: Office-based with some travels to the field
- Travel: 15 % Domestic travel is required.
- On call: 5%
