Poste 1 : Travel Assistant GS5 FT

Purpose for the job:

Under general supervision of the Administrative Officer prepares documentation for internal travels. Assist in the daily management of the Office fleet.

How can you make a difference?

Summary of key functions/accountabilities:

  • Assists in making travel arrangements (for inside and outside the country trips). reviewing requests for travel. requesting itinerary choices/options and related price quotations from travel agent, determining applicable class of travel, proposing most economic itineraries/options, keeping travelers informed of the selected itineraries and making reservation.
  • Raises Operations Section travel authorizations in Vision, upon approval of selected itinerary, purchases tickets or authorizes travel agent to issue tickets, drafts as needed correspondences to other UN offices authorizing issuance of tickets and daily subsistence allowances.
  • Assists in making required reservations and arrangements for meetings, seminars, workshops. Makes hotel reservation for visitors and newly assigned staff members. Assists  in obtaining required documents for their stay: visa/vaccination requirements, tax exemptions, etc. Advises staff on visa and vaccination requirements of countries to be visited. ensures that application forms are completed correctly with accompanying material.
  • Verifies Country Office staff travel claims against authorized travel, with regard to actual routing and duration of stay. Certifies invoices pertaining to a ticket and closes regularly in VISION fully liquidated travel authorizations. Maintains files and records related to travel.
  • Assigns vehicles for zone offices drivers day-to-day office work and staff’s field trips. Follows up with drivers the maintenance/repair of administrative vehicles. Bills staff for private use of office vehicles in accordance with the rules.
  • Issues daily report on zone offices driver’s planned assignments to keep track of their movements. Checks vehicles log books, produces monthly/periodic reports on fuel consumption, repairs/maintenance costs of vehicles
  • Manages offices fleet by maintaining accurate statistics on fuel consumptions, repairs/maintenance costs. Assists in providing guidance in the renewal of vehicles.
  • Keeps drivers abreast Of UNICEF rules & regulations regarding vehicle management and new traffic regulation. Proposes training for drivers.

To qualify as an advocate for every child you will have…

Education:

Completion of secondary school required. Additional professional certificate in management of international travels / University degree in business administration; management or any other relevant discipline is an asset.

Experience:

Five years of experience in the field of international travels / transport or logistics. Prior experience working with a travel agency; or in Administration / Logistics with UNICEF / UN or international NGO is highly desirable

Language Requirements:

Fluency in French (oral and written) and good working knowledge of English required.  Knowledge of at least one local language of the duty station is an asset

With strong Government commitment to child rights and support from a wide range of partners, Mali has made some progress in moving forward some child rights indicators in the past decade. For example, infant mortality declined slightly from 56 to 54 per 1,000 live births and stunting among children under five decreased from 38 to 27 per cent between 2012 and 2018. Yet, despite 5 per cent annual economic growth since 2013, Mali remains one of the poorest countries in the world: 44 per cent of the population (55 per cent in rural areas) lives below the national poverty line. The country faces a protracted humanitarian crisis and population displacement, with constrained humanitarian access hampering progress towards the Sustainable Development Goals.

Mali CO has developed a new country Programme (2020 – 2024), in which it is expected that Human resources management is effective and transparent; staff competencies are continuously improving; duty of care and core values are well established

How can you make a difference?

Under the general supervision of Operations  officer, the incumbent performs administrative support functions, such as personnel, finance, registry, supply and transportation, as indicated by the requirements and structure of the organization.

The Supply & Admnistrative Associate, GS6 will perform the following functions:

Summary of key functions/accountabilities:

Performs administrative and personnel work, including processing of entitlements and maintenance of various personnel records and files. Briefs international personnel on general administrative matters relating to visas, licenses, security; provides advice and ensures administrative support, as required. In addition to general administration responsibilities, supervises directly or indirectly, activities concerned with office and grounds maintenance, security, transport and similar services

Identifies and recommends potential local suppliers.  Maintains data on local supply sources’ overall performance, (competitive pricing, product quality and timely delivery).Advises and assists other staff in the area of office management. Undertakes field visits to project sites and monitor inventory and supply inputs.

Arranges for and/or attends meetings on day-to-day administrative matters; participates in discussions of new or revised procedures and practices; interprets and assesses the impact of changes; and makes recommendations for follow-up actions

Assists in the preparation of office budgets applicable to staff and servicing costs, and maintains necessary budgetary control records

Requisitions office supplies and equipment locally and arranges for control of distribution and maintenance of appropriate inventory records

Prepares, on own initiative, correspondence, reports, evaluations and justifications, as required, on general administrative or specialized tasks which may be of a confidential nature within the assigned area of responsibility.

1. Academic qualifications

Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization
