The International Crops Research Institute for the Semi-Arid Tropics (ICRISAT) seeks applications for an Administrative Assistant, for its Niamey Office. The position is based in Niamey, Niger. This is a nationally recruited staff (NRS) position in Grade 4 of the Institute Scale with salary package including: basic salary, housing, flexi allowances and medical insurance. The position is initially for a period of two years, renewable based on the performance of the incumbent and the Institute’s continuing need for the position.

Core competencies

  • Master or Bachelor Degree in Administration or related field.
  • Proven experience as an administrative assistant or other relevant administrative support experience (at least 3 years).
  • Excellent computer skills, especially typing, in-depth understanding of entire MS Office suite.
  • Excellent oral and written communication skills in English and French (English will be tested)
  • Ability to organize a daily workload by priorities.
  • Attention to detail.
  • Desire to be proactive and create a positive experience for others.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.

Main responsibilities

  • Provide general administrative support.
  • Handling office tasks, such as filing, generating reports and presentations, and setting up for meetings.
  • Produce and distribute correspondence memos, letters, and forms
  • Opening, sorting and distributing incoming emails, and other correspondence.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as preparing travel documents, booking flights, and making hotel and restaurant reservations.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Handle sensitive information in a confidential manner
  • Using computers to generate reports, transcribe minutes from meetings.
  • Greet and assist visitors and maintain contact lists
  • Maintain polite and professional communication via phone, e-mail, and mail.
